Hi, I sent you an audio-email for a couple of reasons. Firstly, I find it more effective for me to quickly talk a reply because I'm shocking with grammar, spelling and knowing where to put a comma! And secondly, by recording a voice email I can more quickly clear my inbox, which means you get a reply faster and I can free up time I would have spent trying to compose a written reply.
If you think this process would be beneficial to your business then I'll explain the process here. All the links to the software I use are above and I'm not getting paid anything from them to 'sell' their tools. Here is the process:
Step 1. Open the email you want to reply to, so you can speak back and answer any specific questions.
Step 2. Open Quicktime recorder (free for Mac and PC) and record your message. In the Mac simply drag and drop the recording into the email.
Step 3. Open (on the Mac, PC equivalents links are above) TextExpander. This program allows you to pre-program a piece of text and the program will insert a larger block of text. A bit like adding a signature. For me, I have decided 'eaudio' is a phrase I won't accidentally type but can easily remember, and I type in 'eaudio' into the email. I have programmed TextExpander to insert the following message:
Thanks for your email – please open the attached audio file to hear my response.

This method can also be used on a Smartphone using the App version of TextExpander. The beauty on a Smartphone is you can quickly clear your email by talking your reply, and you won't look like a plonker as people are used to hearing people leave answer phone messages. And the app will save you time trying to type on a small keypad.
Step 4. Send it!
There you have it, with a few clicks of a button people will get a voice email, which I think is pretty cool and a little more personal as well. And you can be using your dead time waiting in line for your coffee etc to answer these emails.
